Receiving Gifts

Recording Gift Revenue

Gifts are recorded by the following:

  • Alumni Affairs and Development (Advancement Services)
  • Office of Trust and Estates
  • Certain units (e.g., Laboratory of Ornithology)

Gifts-in-kind are evaluated on an individual basis and must be coordinated with Advancement Services.

Moving gifts in the general ledger normally is done by Advancement Services. This is important for fundraising purposes to make sure the individual gift record is reflected properly in the university contributor relations system.

Gift revenue is recorded in the general ledger on the following object codes:

  • 4340 Gifts of Cash
  • 4345 Alumni Class Dues
  • 4350 Gift In Kind Contribution
  • 3255 NO - Gifts Cash
  • 3360 NO - Gift In Kind Contribution
  • 7060 Prior Year Gift Adjustments

What To Do If You Receive a Gift Check In Your Department

Option 1

  • Endorse check "For Deposit Only to Cornell University"
  • Complete a Gift Information Form
  • Place source documentation (check/note/other) with the completed Gift Information Form (one per check) inside the original envelope, and place the contents inside another envelope
  • Send by first class mail to the following address:

Option 2

  • Endorse check "For Deposit Only to Cornell University"
  • Complete a Gift Information Form
  • Place source documentation (check/note/other) with the completed Gift Information Form (one per check) inside the original envelope, and place the envelope inside a standard envelope.

Note: If you receive cash gifts from donors, do not send the gift to the lockbox at CDS Global. DO NOT SEND CASH through U.S. or campus mail. Cash gifts coming to your department must be deposited at the Tompkins Trust Company bank. Contact Advancement Services for instructions.
